Privacy Officer

In accordance with PIPA, Fix.bm has designated a Privacy Officer responsible for ensuring compliance with this Act and for handling all privacy-related inquiries and complaints. You can reach our Privacy Officer by using the contact form or by emailing privacy@fix.bm.

Consent

By creating an account or submitting a report on Fix.bm, you consent to the collection, use, and disclosure of your personal information as described in this policy. You may withdraw your consent at any time by contacting our Privacy Officer, though this may affect our ability to process your reports.

What Personal Information We Collect

We collect only information that is relevant, adequate, and not excessive for the purposes of operating this platform (the PIPA principle of proportionality). When you use Fix.bm, we may collect:

• Account information: Your name and email address (required); your phone number (optional)
• Report information: The details of your report, including the problem description, category, geographic location (latitude/longitude), and any photographs you upload
• Technical information: Your IP address, browser type, and device information collected automatically when you visit the site

Purpose of Collection and Use

In accordance with PIPA's purpose limitation principle, we use your personal information only for the following specified purposes:

• To send your report to the relevant Government of Bermuda department
• To send you confirmation and status update emails about your reports
• To publish your report on the Fix.bm website (see "Public Reports" below)
• To send you alert emails if you have subscribed to them
• To administer your account on the platform
• To improve the Fix.bm service through analytics

We will not use your personal information for any purpose beyond those stated above without obtaining your further consent.

Disclosure of Personal Information

Your personal information may be disclosed to the following recipients:

• Government of Bermuda departments: When you submit a report, your name, email address, phone number (if provided), and report details are sent to the relevant Government department responsible for the area and type of problem reported
• Fix.bm administrators: Authorised administrators can access your email address through the admin interface solely for the purpose of managing the platform and responding to your reports
• The public: Your report details are published on the Fix.bm website (see "Public Reports" below)

We will not sell, trade, or otherwise transfer your personal information to any other third parties, except where required by law or court order.

Public Reports

Reports submitted through Fix.bm are published on the website for the benefit of the community. You may choose to submit your report anonymously by unchecking the "show my name publicly" box. When you do this:

• Your name will not appear on the Fix.bm website
• Your name will still be sent to the relevant Government department (they require it to process your report)
• Your email address is never published on the website

We recommend that you do not include personal details such as your home address or phone number in the body of your report, as this text is publicly visible.

Data Security

Fix.bm implements appropriate technical and organisational security measures to protect your personal information against unauthorised access, alteration, disclosure, or destruction. These measures include:

• Encrypted connections (HTTPS) for all data transmission
• Restricted access to personal information on a need-to-know basis
• Secure storage of account credentials
• Regular review of security practices

Where Your Information Is Stored

Fix.bm is hosted on cloud infrastructure located outside Bermuda (currently in the United States). This means your personal information is transferred overseas for storage and processing. In accordance with PIPA's requirements on overseas transfers, we take reasonable steps to ensure that our hosting providers apply a comparable level of protection to your personal information, including encryption in transit and at rest and contractual data protection commitments.

Data Breach Notification

In the event of a personal information breach that is likely to adversely affect you, Fix.bm will, in accordance with PIPA:

• Notify the Privacy Commissioner for Bermuda without undue delay
• Notify affected individuals without undue delay
• Provide details of the nature of the breach, its likely impact, and the steps taken to address it

Data Integrity and Retention

We take reasonable steps to ensure that personal information is accurate and up-to-date. Reports are retained on Fix.bm to maintain a useful historic record for the community. We will not retain personal information longer than is necessary for the purposes for which it was collected.

Cookies and Analytics

Fix.bm uses cookies to manage user sessions and may use Google Analytics to understand how the site is used and to improve the service. Google Analytics collects anonymised data about your visit, including pages viewed, time on site, and referral source.

You can control cookies through your browser settings. You can also install the Google Analytics Opt-out Browser Add-on to prevent your data being used by Google Analytics.

Your Rights Under PIPA

Under the Personal Information Protection Act 2016, you have the right to:

• Access: Request access to the personal information we hold about you
• Correction: Request correction of inaccurate or incomplete personal information
• Erasure: Request that we block, erase, or destroy your personal information
• Withdraw consent: Withdraw your consent to our use of your personal information at any time

To exercise any of these rights, please contact our Privacy Officer using the contact form or by emailing privacy@fix.bm. We will respond to your request within a reasonable timeframe as required by PIPA.
